What user profiles are available for an account in the Business Booking Portal and what access does each role have?
As a Virgin Australia Business Flyer member, you can add team members to the account and assign them to one of the below user profiles within the Booking Portal:
Member:Â We refer to a business that has joined the Virgin Australia Business Flyer program as a member.
Key Contact:Â This is the person who has authority to act on behalf of the member. The Key Contact has access to both the Booking Portal and the Business Rewards Portal and receives all service messages associated with the memberâs Virgin Australia Business Flyer account. The Key Contact will also receive marketing messages if they have opted in to receive these. The Key Contact has the authority to carry out the same activities as an Account Administrator. There can only be one Key Contact for each Virgin Australia Business Flyer account.
Account Administrator:Â An Account Administrator has access to both the Booking Portal and the Rewards Portal and is authorised to book flights for travellers under the memberâs Virgin Australia Business Flyer account and manage any rewards the business has received. There can be more than one Account Administrator associated with one account. The Account Administrator will receive marketing messages if they have opted in to receive these.
Booker:Â A Booker is a person who has access to the Booking Portal and is authorised to book flights for travellers under the memberâs Virgin Australia Business Flyer account. There can be more than one Booker associated with one account. The Booker will receive marketing messages if they have opted in to receive these.
Traveller:Â A Traveller is a person who is employed, contracted, or otherwise associated with the business. A Traveller has access to the Booking Portal but can only book and manage their own flights. There can be more than one Traveller associated with one account. The Traveller will receive marketing messages if they have opted in to receive these.
Guest Traveller:Â A Guest Traveller is a person who does not have login credentials for the Booking Portal but is associated with the member and/or business. Bookings can be made for a Guest Traveller by other users, but they cannot make bookings for themself. There can be more than one Guest Traveller.

How do I know what membership tier my Business Flyer account is currently at?
Virgin Australia Business Flyer has three tiers, which determine the Points earn rate and benefits a business is entitled toâĄ.
A businessâs membership tier is determined by the amount spent on eligible flights travelled over a 12-month period^^. Members can see what their current membership tier status is by logging into the Booking Portal, or the Rewards Portal.
A Virgin Australia Business Flyer account will automatically move up or down a tier based on current annual flight spend, and whether or not this exceeds the threshold of that tier. If your account tier is upgraded, this will happen on the same day that your spend level exceeds the threshold, and the Key Contact will be notified through email. If your account is downgraded, this will happen on the same day as your annual Tier review, and the Key Contact will be notified through email.

How do I close my Virgin Australia Business Flyer account?

What happens to the Points my business has earned if my account is closed?
If you request to close your Virgin Australia Business Flyer account, youâll be given the option to either transfer your Points balance (provided there is a minimum of 100 Points in the account) to an individual Velocity Frequent Flyer account+ or forfeit your Points.

How can I add or change the nominated Travel Agent for my business in my account?
To nominate a Travel Agent if youâve previously registered as a self-booker, please complete the Maintenance form including the details of your travel agent and send the completed form to businessflyer@virginaustralia.com.

Linking your Virgin Australia Business Flyer account with a Velocity Frequent Flyer account

Why should I link my Business and Velocity accounts?
Anyone travelling under the Virgin Australia Business Flyer account who has an active Velocity Frequent Flyer membership can link their Velocity number to the Business account. The benefits of linking accounts are:
- a more seamless way of identifying when you are flying for work on business travel booked through the Virgin Australia website or app, without the need to manually enter an ABN;
- when booking through the Virgin Australia website or app, youâll be able to toggle between business and personal travel to ensure business travel accrues Velocity Points for both the linked Virgin Australia Business Flyer account, and the individualâs Velocity account.
Note: Member-exclusive discounts on travel are only accessible on bookings made through the Booking Portal or through your nominated Travel Agent. A Velocity number can only be linked to one Virgin Australia Business Flyer account at any given time. If you are booking through the Virgin Australia website or app and wish to earn Velocity Points for another Virgin Australia Business Flyer account that you are not linked to , you can do this by amending the ABN field to the ABN of the business you are flying for during the payment stage of the booking process.

How to link my Business and Velocity accounts
1) Log in to the Booking Portal and visit the âAccountâ tab on the homepage to begin the process of linking.
2) Scroll down to âAdd loyalty accountâ and select âVelocity Frequent Flyerâ from the drop-down list.
3) Enter your Velocity number and follow the prompts to complete the verification process. If your accounts are already linked, or your Velocity number is already linked to another Business account, youâll be notified.Note: Please ensure that the name in your Booking Portal member profile matches the name in your Velocity profile.

How to unlink my Business and Velocity accounts
You can unlink your Business account from your Velocity account at any time, by following steps 1-2 above. Then, just select âRemoveâ to unlink your account. You can link your accounts again in future if you wish.

Can I link my travellerâs Velocity numbers to the Business account on their behalf?
Linking can only be completed by the individual Velocity membership account holder. If they have been set up with a Traveller user profile in the Booking Portal, they will be able to log in and follow the same steps above to link their Velocity number to the Business account. This will ensure they wonât miss out on earning Points for the business, and in a personal capacity when they fly for work.
As a Key Contact, Administrator or Booker, you can still add a Velocity Frequent Flyer number to an individual travellerâs user profile at any time in the Booking Portal. This isnât the same as linking, but it will ensure they earn Points in a personal capacity when they fly for work.Â

What happens if someone leaves the business and their Velocity numbers are linked to the Business account?
If a Key Contact, or Account Administrator removes a Traveller profile from the Business account, their personal Velocity number will be unlinked from the Business Account.
If any user profile leaves the business but is still linked to the Business account, they will need to unlink their account through the Velocity app. They can then choose to link their Velocity number to another Business account in future if they wish. Please be aware that so long as a Velocity number is linked to the Business account and the business travel toggle is âonâ, any eligible travel booked through the Virgin Australia website or app will continue to accrue Points for the linked Business account.

How do I know if my Velocity account and Business account have successfully linked?
Once youâve followed the above outlined steps to link your Business and Velocity accounts, youâll receive an email from Virgin Australia Business Flyer to the email address attached to your Virgin Australia Business Flyer account confirming that the accounts are linked.

âĄTier Levels: Virgin Australia Business Flyer has multiple Tier Levels. The Tier Level determines the types of Program Benefits the Virgin Australia Business Flyer member is entitled to access. Certain Program Benefits may only be provided to a specific Tier Level. Please see our website and the Virgin Australia Business Flyer Terms and Conditions for information on the Program Benefits. The Program Benefits are incorporated into these Terms.
^^Eligible Flights are (by Fare Type): Business; Economy Flex; Economy Choice and Economy Lite. Eligible Flights do not include (by Fare Type) Groups/Charter and Redemption fares (Rewards Seats). Eligible flights must be booked via an Eligible Booking Channel. An Eligible Booking Channel is: 1. the Virgin Australia Business Flyer Booking Portal, 2. www.virginaustralia.com or the Virgin Australia mobile application (Virgin Australia App) provided that the Memberâs ABN is included, 3. the Memberâs nominated Travel Management Company (TMC), and 4. the Guest Contact Centre. The Member's ABN must be entered at the time of booking for all Eligible Booking Channels. Virgin Australia Business Flyer Terms and Conditions apply.
+Points transfer: Virgin Australia Business Flyer Account Administrators can transfer Points earned by the Virgin Australia Business Flyer member to a Velocity Frequent Flyer member, provided that (a) there is a minimum of 100 Points per transfer; and (b) the Velocity Frequent Flyer member transferee is directly employed or contracted by the Virgin Australia Business Flyer member.
